ABSTRACT

This project is on computer an important system in the processing of accounting information(A Case Study on Accounting Department of Adekunle Ajasin University, Akungba Akoko), the question is, to what extent is computer recreant in the processing  of accounting information in the university. Technology affords better ways of doing things. No one doing serious business today will claim to be totally oblivious of the importance of computers are very helpful and generally time saving, some business can still so without it.  Therefore while considering if to get computer one should be rational and really should evaluate the benefits derivable from a computer by the business visa-vis the planned investment outlay. It is against this background that the major concern of this research was made to identify desirable from computerization of accounting information system in the university. Chapter one, is the introductory chapter.  It gives an over view of the research.  It examines the research problem, the statement of problem, the purpose of the study, significance, scope and limitations of study, research hypothesis and definition of some terms. Chapter two provides a working definition on related literature. The following were considered.  The computer, organization of accounting information system, impact/ relevance of computer in processing of accounting information planning for a computerized accounting system, benefit / cost of computerization in the university. Chapter three examines the research methodology used in the study, it describes research design, analysis procedure, source of data, collection of data, population and description of questionnaires. Chapter four presents the result of the data analysis and the testing of hypothesis.  Chapter five discusses the research findings based on data analysis.  The conclusion of the research findings and recommendations are made in this chapter. It is hoped that this study will stimulate more research on related topics.  Finally, it is hoped that the findings from this study will add to the existing knowledge in university.

CHAPTER ONE

  1. Introduction

Today, it is commonplace to keep accounts on a computer. Yet all the basic principles of accounting, as described elsewhere in this book, were devised in an age of paperwork and ledgers. As computers took over, a lot of accounting activity disappeared ‘under the covers’ of sophisticated electronic boxes. The result was that much of the work of accountants was made a lot easier. At the same time, new questions arose. In particular, it is difficult ascertain exactly what is actually going on inside a computer. How can we be sure that it is carrying out all the accounting procedures correctly?

 

How is information captured? A lot of information is still entered by being typed in via a keyboard, but increasingly it arrives by other means. For example, optical character recognition can be used to lift information directly from printed documents (or even handwritten ones, if the writing is good enough). Bar codes can be used to locate and count inventory items. Plastic cards may hold details of a customer’s identity, or store a monetary value. Speech recognition means that, in appropriate conditions, we can talk directly to the computer. For routine activities, a mouse can provide rapid input by enabling the user to ‘point and click’ on a specially designed screen lay-out, known as a Graphical User Interface (GUI). Each of these methods of collecting information has different levels of accuracy, and needs to be subject to different kinds of checks and controls.

 How is information stored? Most computers have a built-in disk drive, capable of storing huge numbers of facts and figures. This raw information is usually referred to as data. A variety of disks and memory devices are available for transferring data from one system to another. While data is stored, it is important that no-one can tamper with it. One way of achieving this is to use a write-once medium, such as a CD which is designed to ‘burn in’ the data permanently.

How is information processed? Most businesses buy ready-made software packages to run their accounts. There are many thousands of such products on the market. Some are targeted at very specific types of business, such as construction or banking. Packages are now available for even the smallest businesses, such as a local charity or corner shop. At the other end of the scale, larger organizations sometimes find that their

operations are so complex and specialized that no suitable packages are available. In this case, they may have to commission bespoke software. This is an expensive option, and the programs may take many months to design, write and test.

       

 On the other hand, accounting information systems are part of the overall information system. They play a significant, effective role in providing all levels of decision-makers with timely, accurate and precise information which helps them take the right decisions. Such information are provided through reports and statements aggregated from actual daily data in the university. Accounting information systems are very important because they exist inside the university and control all its activities (Al-Dhufairy, 2008). The value of an accurate and efficient accounting system is demonstrated by its ability to aid all organizations, by contributing to improving the quality of services, reducing costs and eliminating all resource-wasting activities; it also contributes to knowledge and experience which eventually leads to developing the organization and increasing its competitive advantage through the system's ability to provide the right information at the right time. This study aimed to identify computerized accounting information systems and illustrate their role in reducing the costs of academic services at Adekunle Ajasin University, Akungba Akoko. It is well-known for offering a comprehensive system of academic services in line with the highest levels of quality.

 

  1. Rational/Theoretical Framework   

The basis for financial planning and analysis is the financial information. Financial information is needed to predict, compare and evaluate the firm’s earnings ability. It is also required to aid in economic decision making investment & financial decision making. The financial information of an enterprise is contained in the financial statement or accounting report.

Accounting is the guide post for management, every enterprise should know the activities carried on by it and the financial implication of its operations.  The financial score of the university is kept by the accounting system. Accounting information unit in business context is a unit in an organization that processes transaction to provide score keeping.  It points out the problem faced or likely to be faced by the .  It also brings to the notice of the firm the opportunities that are likely to arise.  It indicates possible action, when needed.  Accounting is the process of identifying, measuring and communicating economic information to permit judgment and decision by users of the information.
